Administrative Assistant II

Department: Sales & Marketing Admin

Reports To: Office Services Manager

FLSA Status: Non-Exempt

Revision Date: 2/26/24

Position Summary:

The Administrative Assistant is responsible for providing administrative support to the Sales and Marketing group daily to enable staff and the leadership team to achieve business objectives.

Essential Duties and Responsibilities:

Support Sales and Marketing departments to include but not inclusive:

  • Schedule calls/meetings and maintain calendars
  • Prepare communications such as memos, emails, invoices, reports, company weekly news briefs,
  • Create and edit documents, spreadsheets, presentations, the sales department territory directory, maps, and organizational charts.
  • Coordinate the annual Handwriting Contest
  • Manager the company's intranet site
  • Manage invoices and expense reports.
  • Coordinate meetings, to include travel, meeting setup, and lunches
  • Assist with sales reps' car reimbursement program
  • Support new hire onboardings within the Sales & Marketing teams.
  • Assist with printing as needed
What you should show up ready to teach anyone on your first day:
  • Organizational skills and techniques
  • Prepared to help coordinate or schedule a group meeting
Within your first month, you'll:
  • learn about the company, the various departments, and your customers.
  • be able to effectively schedule individual and department meetings, including scheduling and overseeing Teams meetings.
  • understand the expectations of your position and your performance metrics

Education and Experience:

  • High School Diploma or equivalent
  • 1+ years' experience working in an office environment

Qualifications:

  • Experience supporting professional staff preferred.
  • Strong Microsoft Office skills preferred.
  • Strong attention to detail, planning, and organization skills required.
  • Team-oriented with strong interpersonal, verbal, and writing skills.
  • Demonstrated ability to keep information confidential.
  • Able to handle multiple projects simultaneously.
  • This is a hybrid position as you may be subject to come into the office to work on projects and as needed.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to Lift 15 pounds at times.
